The phone app
Use the OrderPilot Warehouse phone app to add and remove stock, count shelves, move stock and pick orders by scanning.
What it's for
OrderPilot Warehouse is a phone app for people working on the warehouse floor. It uses the phone's camera as a barcode scanner. With it you can:
- Add to shelf β put stock onto a shelf
- Pick orders β pick the items on a pick sheet
- Transfer β move stock from one shelf to another
- Count shelf β count what is really on a shelf
- Remove from shelf β take stock off a shelf
Every change updates OrderPilot's shelf quantities right away.
Where to find it
Open your OrderPilot address followed by /m in the phone's browser, or simply scan the pairing QR code (see below), which opens it for you. You can add it to your home screen to use it like an app.
Before the phone can be used, it must be paired to your account once.
The screen at a glance
- Top bar β the mode you are in (or Warehouse on the home screen), a back arrow, the language button (EN / ES) and your name.
- Mode buttons β Add to shelf, Pick orders, Transfer, Count shelf, Remove from shelf.
- Step card β says exactly what to scan next ("Step 1 of 2 β Scan the shelf label") and what will happen.
- List β what you have scanned so far.
- Scan bar (bottom right) β π· opens the camera; β¨ opens a box to type or use a handheld scanner.
Each scan beeps: a high beep means OK, a low beep means it was refused. A big flash shows the item and the new count.
Buttons and actions

| β¨ | Opens a box to type a code, or to use a Bluetooth/handheld scanner. β hides it. |
| β Done β close β¦ | Finishes adding or removing on that shelf. |
| β Commit this count | Saves your shelf count. |
| Sign this phone out | Unpairs the phone. You will need to scan a pairing QR again. |
On a pick sheet (tick list):

| Tap a line | Ticks the whole line (all its units). Tap again to untick. |
| β / + | Take fewer or more units than the whole line. |
| Shelf empty | Tells OrderPilot the shelf has no more of this item. The shelf count goes to 0 and the office is told. Units still owed move to the next shelf that has stock and reappear on the sheet there. If no shelf has stock, you can choose π Reroute to vendor or Not now. |
| Shelf chips | Each shelf on the sheet with how many lines are left there (β when done). Tap one to work that shelf alone. |
| All shelves / One shelf at a time | Show the whole sheet, or one shelf with βΉ βΊ to step between shelves. |
| β Pick all | Ticks every line in the current view. Tap again to untick. |
| β Submit | Marks the ticked units as picked. If you ticked fewer than the whole sheet, it asks first; the rest stays on the sheet. |
| Close | Leaves the sheet. Unsubmitted ticks are not saved. |
When picking by scanning:

How to pair your phone
- On a computer, open OrderPilot, click your name at the bottom of the sidebar and choose Pair a phone.
- On the phone, point the camera at the QR code. The phone app opens and signs in as you.
- Or, in the phone app, tap π· Scan the pairing QR, or type the code shown under the QR and tap Pair this phone.
- You see "Paired as β¦" and the home screen.
How to put stock on a shelf
- Tap Add to shelf.
- Scan the shelf label.
- Scan each item you put on the shelf. Every scan adds 1 unit.
- When the shelf is done, scan the shelf label again (or tap β Done β close β¦).
Remove from shelf works the same way, but every scan takes 1 unit off.
How to count a shelf
- Tap Count shelf.
- Scan the shelf label. The items OrderPilot thinks are there appear with "system says β¦".
- Scan every unit on the shelf. Don't miss any β your count replaces what was recorded.
- Scan the shelf label again, or tap β Commit this count. The app tells you how many items changed.
How to move stock between shelves
- Tap Transfer.
- Scan the shelf you are taking stock from.
- Scan each item you are moving.
- Scan the shelf you are moving it to. The stock moves.
How to pick a pick sheet
- Scan the QR code on the printed pick sheet with the phone's camera, or tap Pick orders in the app and scan it. The sheet opens as a list, grouped by shelf in walking order. Several orders that need the same item from the same shelf show as one line.
- Walk the list. Take the units and tick each line (or use β/+ for part of a line).
- If a shelf is empty, tap Shelf empty on that line.
- Tap β Submit. The ticked units are marked picked and the sheet reloads to show what is left.
- When every line is picked, tap Done.
You can put the phone down halfway: only what you submit counts, and the rest stays on the sheet for later.
Some sheets are picked by scanning instead: scan the sheet, then scan a shelf label, then scan each item you take. The list ticks off as you go and shows every shelf with how many are left. Tap Finish session when done.
Tips and troubleshooting
- What a scan does depends on the mode you pressed, not on the label. Every shelf has one label for everything.
- "Press what you are doing first" β choose a mode before scanning.
- "Finish β¦ first β scan it again to close" β you scanned a different shelf before closing the one you were on.
- "That code belongs to the desktop app" β that barcode is meant for the computer screens, not the phone.
- If you opened a pick sheet's QR in the phone's normal browser and it says the phone isn't paired, either open the installed app and scan the sheet with its camera, or pair the browser once β the sheet then opens by itself.
- If the phone signs out, scan a new pairing QR from the computer.
- The camera needs permission. If it doesn't open, allow camera access for the site in the phone's settings, or use β¨ to type codes.
