Team β€” My work, Tasks and Chat

Clock in and out, see your hours and pay stubs, work on tasks and chat with your team.

What it's for

The Team pages are for everyone in your company:

Admins also have Manage team (Who's working, Timesheets & Screenshots, Payroll, Members & settings). See Managing your team and Payroll.

Where to find it

Sidebar β†’ Team β†’ My work, Tasks or Chat. Members with the team permission also see Who's working; admins see βš™ Manage team. A red number on Team means unread chat messages.

The screen at a glance

My work

Your clock, today and this week, your tasks, your timesheet and your pay stubs.

Tasks

Tasks in four columns: To do, In progress, Review and Done (last 7 days).

Each card shows the title, who it is for, the due date (red when overdue, amber when due today), pay for the task, πŸ” if it repeats, a linked order/SKU/PO number, πŸ”— if it has a link, and the number of comments.

Chat

Conversations on the left, newest first, with a search box that finds people and words inside messages. The open conversation is on the right.

Buttons and actions

My work

Button What it does
Clock in Starts your paid time.
Take a break / Back to work Pauses and restarts your paid time. Breaks are not paid.
Clock out Ends your paid time.
Download OP Desktop / Pair OP Desktop Shown when you may only clock in from OP Desktop.
+ New task Creates a task.
Start / Mark done / Open (on a task) Moves the task to In progress, finishes it, or opens it.
πŸ“· My screenshots Shows the screenshots OP Desktop took of your screen (only if screenshots are on for you).
Request a correction Sends your manager a chat message asking to fix your time (for example a forgotten clock-out).
Submit timesheet for approval Sends this pay period's timesheet to your manager. Asks first.
View / PDF (pay stubs) Opens a pay stub, or downloads it as a PDF.

Tasks

Button What it does
+ New task Creates a task.
πŸ” Recurring (admins only) Lists repeating tasks; Stop stops making new copies (asks first; existing copies stay).
Everyone menu (admins only) Shows only one person's tasks.
Drag a card Moves it to another column.
Click a card Opens it.

Inside a task

Button What it does
Move to … Moves the task to another column.
Post / Attach Adds a comment or a file (up to 50 MB; large photos are shrunk).
Open (next to the link) Opens the task's link in a new tab.
Save / Create task Saves your changes.
Delete (admins only) Deletes the task and its comments. Asks first.
Close Closes without saving.

Chat page

Button What it does
New message Pick a person and open a chat.
New group Name a group and tick the people.
Members (groups) Rename, add or remove people, Leave group or Delete group (asks first).
Attach Sends a file (up to 50 MB).
Send or Enter Sends your message. Shift+Enter starts a new line.
React / Reply / Translate / Delete (on a message) Same as in the chat window.
Show older messages Loads earlier messages (scrolling up does this too).

How to clock in and out

  1. Open Team β†’ My work.
  2. Click Clock in.
  3. Use Take a break and Back to work for breaks.
  4. Click Clock out at the end of your shift.

If your admin requires you to clock in, you also get a small colored circle next to your name at the bottom of the sidebar (red = not clocked in, green = working, amber = on a break). Click it to clock in, take a break, clock out or open My work. Until you clock in, a red banner across the top of OrderPilot reminds you β€” click Clock in now on it.

If you may only clock in from OP Desktop, the OrderPilot buttons are replaced by a note: open OP Desktop on your computer and press Clock in there. Breaks and clock-out are done there too.

How to create a task

The New task form as an admin sees it.
  1. Click + New task.
  2. Type a Title and any Details.
  3. Admins: tap one or more people under Assign to. Members' tasks are for themselves.
  4. Pick a Due date.
  5. Admins can set Repeat: One time, Every day, Weekly on chosen weekdays, or Monthly on a day of the month.
  6. Optionally link it to an order, SKU, PO or vendor and type its number, paste a link, and (admins) set Pay for this task. Blank pay uses the person's default per-task pay.
  7. Click Create task.

How to finish a task

  1. On My work, click Start when you begin and Mark done when finished. Or drag the card on the Tasks board.
  2. When a member marks a task done, it goes to Review for an admin to check.

How to submit your timesheet

  1. Open Team β†’ My work.
  2. Check your clock-ins for the pay period. If something is wrong, click Request a correction and describe it.
  3. Click Submit timesheet for approval and confirm. It shows "Submitted β€” waiting for your manager" until it is approved.
