Connect QuickBooks Online
Connect QuickBooks Online so daily sales and fee journal entries, COGS and vendor bills are sent to your books.
What it's for
With QuickBooks Online connected, OrderPilot sends:
- Daily summary journal entries β sales, every Amazon fee, refunds and the net deposit, so they match your bank feed one to one.
- COGS and shipping-label entries.
- Vendor bills β each vendor EDI invoice (810) becomes a QuickBooks bill under that vendor.
You can see what was sent under Reports β QuickBooks.
Where to find it
β Settings β Integrations β Accounting β QuickBooks. One tab: Setup.
The screen at a glance
- Status badge β Connected, Not connected (details saved but not authorized) or Not set β plus your company name and environment once connected.
- Client ID and Client Secret β from developer.intuit.com. Leave the secret blank to keep the saved one.
- Environment β Production or Sandbox (test).
- Auto-export nightly (6am, last 7 days) β sends the last 7 days to QuickBooks every morning.
- Redirect URI β the address to enter in your Intuit app.
- Any last error from QuickBooks shows in red under the buttons.
Buttons and actions

| π§Ύ Create default accounts | Creates any missing OrderPilot accounts in your QuickBooks chart of accounts (clearing account, fees, COGS, inventory and so on) and maps them. Shows which were created, or "all existed". |
| Disconnect | Asks you to confirm, then disconnects. Nothing is deleted in QuickBooks. |
How to connect QuickBooks
- Open Settings β Integrations β QuickBooks.
- Click π Connect to QuickBooks. - If you see "Save the Client ID + Secret first", create an app at developer.intuit.com, set its Redirect URI to exactly the address shown in OrderPilot, copy its Client ID and Client Secret, paste them here, pick the Environment, and click Save settings. Then click Connect again.
- In the QuickBooks window, sign in, pick your company and approve access.
- Wait a few seconds. The message changes to "β Connected to" your company name.
- Click π§Ύ Create default accounts.
- Tick Auto-export nightly and click Save settings if you want entries sent every morning.
Tips and troubleshooting
- Allow pop-ups for OrderPilot, or the QuickBooks window can't open.
- The badge didn't change. The window waits up to about 3 minutes. Close it, then click Connect again.
- Use Sandbox only with a QuickBooks test company.
- Create default accounts fails. Make sure the badge says Connected first.
