Warehouse scanning
Pick orders, scan stock in, move stock between bins and count a shelf with a barcode scanner or your camera.
What it's for
The β‘ Do menu on the Warehouse page holds the four scanning screens:
- Pick orders: take items off the shelves for orders.
- Scan in: put new stock onto a shelf.
- Move / transfer: move stock from one bin to another.
- Cycle count: count a shelf and correct its numbers.
All of them work with a handheld barcode scanner. You don't need to click a box first: the page keeps the cursor in the scan box for you. No scanner? Type the code and press Enter, or use πΈ Camera to scan with your device's camera.
Each location (bin, shelf or custom place) has one QR code on its label. What a scan does depends on the screen you are on.
Where to find it
Open Warehouse βΊ Warehouse in the left sidebar, then the β‘ Do menu. You need the Warehouse permission. Admins and owners always have it.
Shortcuts:
- Scanning a location's code when no scanning screen is open jumps to Scan in with that location open.
- Scanning the Pick-mode poster jumps to Pick orders.
- Scanning a printed pick list QR opens that pick list's run.
The screen at a glance
Pick orders
Before a run starts, the screen lists every order line still to pick, whether or not it is on a printed pick list. Each row shows the catalog SKU and quantity, the order number and title, the location (aisle, shelf, bin), and the units on hand. When on hand is 0, the row's Ship button is greyed out.
When you scan a pick list's QR, the screen switches to that pick run:
- Pick list # with a units-picked progress bar.
- A green band showing the location you are at, how many units it still owes, and "stop X of Y".
- Each item at that location: picture, title, SKU and UPC, the orders it is for, how many to take, and how many are scanned. β© puts one back if you scanned one too many.
- Still to visit: the other locations that still owe units.
Scan in
Shows the open shelf's name, the last item scanned (with its count on that shelf), how many units you scanned this session, and a running log.
Move / transfer
Shows From and To locations and the Items queued to move, with β/+ to fix a count.
Cycle count
Shows each item on the shelf with its recorded count, your counted number (with β/+), and the difference in green (more) or red (fewer).
Buttons and actions

| Commit transfer | Moves the queued items now. Usually not needed: scanning the destination commits for you. |

How to pick a printed pick list
- Open β‘ Do βΊ Pick orders.
- Scan the QR code at the bottom of the pick list. The run opens.
- Walk to a location on the list and scan its code. The green band shows what it owes.
- Scan each item. One scan = one unit. A message tells you when a line is complete and free to ship.
- When the location is clear, scan the next one from Still to visit.
- When every unit is scanned, you see "Sheet complete". Those orders are free to ship.
If you scan a location that owes nothing on the sheet, OrderPilot refuses it and tells you to scan one from the list.
How to pick without a pick list
- Open β‘ Do βΊ Pick orders.
- Scan the location's code. Matching rows in the list are outlined in green.
- Scan the item. OrderPilot takes it for an open order line for that product, preferring one expected at that location.
You can also click Ship on a row to take its units without scanning.
How to scan new stock onto a shelf
- Open β‘ Do βΊ Scan in.
- Scan the shelf's code. The scanner is now live for that shelf.
- Scan each item's UPC. One scan = one unit. Each scan saves right away.
- Scan the shelf's code again (or click Close shelf) to finish. A message shows the shelf's units and SKUs.
How to move stock between bins
- Open β‘ Do βΊ Move / transfer.
- Scan the source bin's code.
- Scan each item to move. Use β/+ to fix a count.
- Scan the destination bin's code. The move saves on its own and a message confirms it.
How to count a shelf
- Open β‘ Do βΊ Cycle count.
- Scan the shelf's code. Its recorded items appear.
- Scan every item on the shelf. Repeat scans add up. Use β/+ to fix a count.
- Check the differences, then click Commit count.
Important: any item you did not scan is set to 0 on that shelf. Make sure you scanned everything before you commit.
Tips and troubleshooting
- "Unknown shelf QR": the code is not a location in the warehouse you have selected. Check the warehouse switcher, or reprint the label.
- "Not a shelf or known item": the barcode is not linked to any product. Check the product's UPC.
- "Scan the location QR first, then the item": in picking, always scan where you are before scanning the item.
- "Scan the SOURCE shelf first": in a transfer, scan the bin you are taking from before the items.
- The camera does not start: allow camera access in your browser, or use a scanner or type the code.
- Scanner typing in the wrong place? Click an empty part of the page. The cursor goes back to the scan box.
- A short high beep means a good scan. A low beep means it was refused; read the message at the bottom of the screen.
