Company settings

Admin settings for the whole company β€” report emails, alert rules, text commands, mailboxes and the warehouse phone app.

What it's for

Company settings holds the setup that applies to your whole company: where emails are sent from, the daily and weekly report emails, the "something stopped running" alerts, text commands, and the warehouse phone app. It is for admins only.

What each person actually receives is their own choice in My account β†’ Notifications. Company settings decides the defaults and the plumbing.

The screen at a glance

Alerts & texts β†’ Report defaults

Reports email β€” a daily summary (orders, COGS, estimated profit, shipped, and what ships next business day) plus an optional weekly edition. It is sent from the mailbox assigned to Reports (or Alerts / Return labels).

Setting What it does
Daily summary On/off and the time it is sent each day (Eastern). Friday, Saturday and Sunday editions show what ships Monday.
Weekly summary On/off and the weekday. Covers the last 7 days with a per-day table, sent at the same time as the daily one.
Extra recipients (optional) Extra emails or plain phone numbers, comma-separated. Everyone who turned reports on in My account gets them automatically.

The line at the bottom shows who it is currently sending to and when the last daily and weekly reports went out.

Alerts & texts β†’ Alert rules

Emails you when something that should be running is not. Sent from the mailbox assigned to Alerts (or Return labels).

Rule What it watches
Extra recipients (optional) Extra emails or phone numbers, comma-separated. Phone numbers get a text from the OrderPilot number. Users opt in under My account.
Scheduler or a job is stuck Always on. A background process stops or a job runs past its deadline.
EDI silence No acknowledgment (855) fetched from an active vendor connection for this many hours, or POs piling up that long without an 850 going out.
Order import silence No successful Amazon or Walmart order import in this many hours β€” the job did not run or every run failed (not "no new orders").
Repeat while still true Minutes between repeat emails for the same problem.

Alerts & texts β†’ Text commands

Set up texting OrderPilot for quick answers and choose your text provider. See Text messages (SMS) in the Integrations section.

Phone app β†’ App settings

Setting What it does
What the phone can reach Warehouse + read-only elsewhere: pick runs, receiving, transfers and cycle counts, plus look-only views of orders, stock and shipping. Everything, phone-shaped: every page on the phone (the shipping station still needs its printer and scale). Scanning is always on.
Allow new phones to pair Off stops new phones from pairing. Phones already paired stay signed in.
Keep a phone signed in for 1–365 days. After that the phone must scan the pairing QR again. Shorter is safer for shared floor devices.

These save as soon as you change them. People pair a phone from πŸ“± Pair a phone in their account menu at the bottom of the main sidebar.

Phone app β†’ Preview

The real phone app, running as you, in a phone-sized frame. Use it to check what your team sees after a scope change.

Buttons and actions

Button What it does
Save (Report defaults) Saves the report schedule and extra recipients.
Send daily now / Send weekly now Sends that report immediately to the current recipients.
Preview Opens the daily report in a new tab without sending it.
Save alerts Saves the alert rules.
Send test email Sends a test alert so you can confirm delivery.
Check now Checks all alert conditions right now and shows any problems, or "Nothing is silent right now".
πŸ“· Fake scan (Preview) Opens a panel to send the phone a code as if the camera had scanned it. Pick a recent pick list (tick-off or scan) or type a code and click Send to the phone.
↻ Reload (Preview) Reloads the phone view.
⧉ Open full Opens the phone app in a new browser tab.

How to set up the nightly report email

  1. Make sure a mailbox is assigned to Reports or Alerts under Email & mailboxes.
  2. Open Company settings β†’ Alerts & texts β†’ Report defaults.
  3. Turn on Daily summary and set the time, for example 21:00.
  4. Optional: turn on Weekly summary and pick the day.
  5. Click Save, then Send daily now to test.
  6. Ask each teammate to tick the reports in My account β†’ Notifications, or add their address under Extra recipients.

How to get alerted when orders stop importing

  1. Open Alerts & texts β†’ Alert rules.
  2. Turn on Order import silence and enter a number of hours, for example 3.
  3. Turn on EDI silence if you use vendor EDI, for example 26 hours.
  4. Click Save alerts, then Send test email.
